CIO: Preparations begin in May to transition shared mailboxes and shared calendars to @usda.gov

The OneUSDA Email transition team is beginning a cleanup effort this month to identify unused shared mailboxes and shared calendars in preparation for the next step in the OneUSDA Email transition to @usda.gov.

Also as part of this cleanup effort, most active legacy shared mailbox shortnames (the part that comes before the @) and shared calendars will be renamed to comply with naming standards established by the U.S. Department of Agriculture. Display names (the name the receiver sees) will remain the same, and emails sent to an @fs.fed.us shared mailbox address will continue to be delivered to the mailbox even after transitioning to @usda.gov.

Owners of shared mailboxes and shared calendars should watch for an important email in the next few days from “FS-Shared Mailbox Cleanup” containing information and urgent instructions for actions that may be required by some shared mailbox or shared calendar owners.

Active and unused Public Distribution Lists (PDLs) will be targeted at a later date and are not part of this current cleanup effort.

What you need to do

If you are a shared mailbox or shared calendar owner:

  • Please watch for emails from “FS-Shared Mailbox Cleanup” containing specific information and instructions about actions requiring a timely response.
  • You can request a new shared mailbox or shared calendar name of your choice in advance of the cleanup effort by completing and submitting this service request form. Note: If your individual employee email address has recently transitioned to @usda.gov, and you have received delivery errors on emails sent from your shared mailbox to external recipients, requesting a shortname change now will resolve that issue.
